Hendrix College, Facilities and Campus Use

- Purpose
This policy describes the conditions under which alcohol may be served and consumed on the Hendrix College campus in approved locations and for approved events. The specific conditions for location and event approval are outlined in this policy. The campus community and guests are expected to consume alcohol responsibly and in consideration of the well-being of individuals, the College, and the community at large.

This policy applies to all members of the Hendrix College Community (faculty, staff, and students) and guests of the College.

President's Office
- This policy is for institutional and external events that are sanctioned to occur on the Hendrix College campus.
- Alcohol may be served and consumed in approved alcohol locations on the Hendrix College campus and for approved alcohol events.
- All events must be officially scheduled according to College procedures and the corresponding event locations must be approved on the College’s master calendar.
- Approved alcohol events are specifically sanctioned by the following offices or officials:
- Director of Public Safety - communicates rules to the host and may require additional staff supervision at the expense of the event host.
- Director of Dining Services - will determine the proper alcohol service and provider. Dining Services reserves the right to require event hosts to employ a pre-approved third-party vendor to purchase and serve alcoholic beverages in coordination with Dining Services. The event host must comply with all rules and regulations set forth by Public Safety and Dining Services.
- President’s Office - The President’s Office may sanction alcohol at events in observance of this policy without prior approval from Public Safety or Dining Services.
- A Hendrix employee must be designated as the event host and is responsible for registering the event; ensuring that the event complies with the Hendrix College Alcohol Policy and federal, state, and local laws.
- Student events are required to comply with the “Rules for Student Events with Alcohol” in addition to the Hendrix College Alcohol Policy.
- Events with alcohol occurring in conjunction with athletic events (i.e., tailgating) must follow the same approval process for approved alcohol events but the approved alcohol location is designated by the Director of Athletics.
- Requests for locations that are not pre-approved or appeals for requests that are altered or denied may be made in writing to the Senior Leadership Team.
- Pre-Approved third-party vendor
- Pre-approved third-party vendor refers to a vendor licensed in the state of Arkansas to serve alcohol that has been pre-approved by Dining Services, meaning the vendor carries the appropriate liability insurance, is aware of Hendrix College policies,
and meets all state requirements for serving alcohol.
