This is a list of rules and regulations for alcohol at events.

- The event host must take reasonable steps to enforce and comply with local, state, and federal laws in addition to Hendrix College policy when governing the use of alcohol at an event.
- The event host will submit an Alcohol Approval Form to the Director of Public Safety at least 15 business days prior to the event. If approved, the Director of Public Safety will forward the form to the Director of Dining Services. The Director of Public Safety will notify the host about the status of the approval form and advise the host on any requirements for additional monitoring, precautions, and age verification methods.
- Alcohol consumption may not go beyond the borders of the approved location. The event host must be present or designate a responsible party and is responsible for monitoring the entrances and exits of event locations or planning with the Public Safety Office for additional staff supervision. The host is responsible for any costs associated with additional staff supervision.
- Outdoor locations must have a clearly defined perimeter. The host is responsible for establishing the perimeter and should consult with Facilities and Public Safety for assistance.
- Any designated supervising Hendrix staff member or Public Safety officer has the authority to terminate an event if in his or her judgement the event has failed to comply with the regulations set forth in the Alcohol Service Policy, is in violation of any governmental laws, or if there is a significant risk to public safety.
- Arkansas State Law prohibits the purchase, possession, or consumption of beer, wine, or distilled spirits by persons under 21 years of age.
- Arkansas State Law prohibits the purchase for, or the serving of alcohol to, individuals who are not of legal age for possession or consumption.
- Individuals are expected to have an age identification document in their personal possession. A College official, staff member, or designee may request to see age identification if that person is suspected of an alcohol policy violation.
- At events where individuals under the legal drinking age may be present, individuals who are of legal age must be clearly identified by a wristband, hand stamp, or other highly visible identification. Age verification and distributing this means of identification will be the responsibility of the event host. If all individuals are of the legal drinking age, a visible means of age identification may not be required.
- Non-alcoholic beverages and food must also be served in conjunction with alcoholic beverages, and must be in plain sight, and easily accessible.
- Failure to comply with policies and guidelines presented in this document or violations of the law, including such activities as disruptive behavior, public intoxication, driving while intoxicated, damage to public or private property, or the use of altered or fraudulent identification will result in college sanctions and/or criminal charges. Violations may result in immediate termination of the event and loss of alcohol privileges for events hosts and/or sponsoring organization at future events.
- Dining Services Coordination and Distribution Requirements
- Purchasing and storage of alcoholic beverages for service is the responsibility of the event host. Dining Services can provide bar service and supplies only for events. Hosts utilizing Catering Services must coordinate with Dining Services on the delivery of product, quantities purchased, service parameters, and instructions for leftover alcohol.
- For bar service, Hendrix Dining Services is limited to serving the following beverages: wine, Champagne, Prosecco, and beers. For bar service of other beverages, Dining Services may refer to a third-party vendor.
- Dining Services may grant permission for event hosts to provide and serve their own alcoholic beverages when appropriate as determined by the Director of Dining Services.
- Alcoholic beverages cannot be sold (i.e., “a cash bar”) without the proper state licenses.
- Any alcohol stored on campus prior to an event should be in an area not visible to students or other guests, and preferably in an area that can be secured via a locked door.
- In instances where it is determined that a third-party vendor should be employed, the event host should notify Dining Services of the vendor chosen, and the service time and location arrangements made.
- Service of alcoholic beverages must cease at least 30 minutes prior to the scheduled end of an event.
- Removal of alcoholic beverages and containers is the responsibility of the event host. The host should ensure that area(s) are clear of trash and left in the same condition prior to the event.
