Before You Recruit
New Position
Any new position requires a completed
Position Control Form (PCF) approved by the Vice President of the area the position is in and the President of the College. A position description should be submitted with the PCF. Incomplete forms will be returned, no position may be advertised or filled without this form.
Replacement (not a new position)
When an employee leaves, please submit an
Employee Action Form (EAF).
Complete the relevant portion of the Position Control Form in order to provide us the necessary information to advertise for the position and attached the current position description for this position. If you plan to restructure the position (new title, large change in responsibilities) you will need to complete the appropriate portions of the form to indicate those changes. Once the Position Control Form has been submitted the Human Resources Department will be in more frequent contact to guide you through the recruitment and on-boarding process.
Hiring the Employee
It is important to note that before any employee can start work they must complete a background screening. Please send the full name and email address of the candidate you would like to hire to our office (hr@hendrix.edu) so that we can send them necessary paperwork. If the candidate does not
have access to email please contact hr@hendrix.edu to set-up an appointment for the candidate to complete the authorization in person. The hiring process may be delayed if the background screening is not authorized and results received before their start date.
Once a background screening has been performed and your candidate is determined clear to start you will receive an email from HR with your employee's ID number and a link to the Employee Action Form (EAF). You must submit this form in order to begin the on-boarding process. In this form you will designate an employee (by entering their Hendrix email address) to provide logistical details of the on-boarding process, such as key/card access, phone number, computer needs, etc. If you, the hiring supervisor, will be submitting those details you can do so by simply entering your email address, assigning that step to yourself.
For full-time hires please reach out to our office, after completing the EAF form, to schedule a time (approximately 1 hour) for a benefit review and orientation meeting with HR. Part-time employees should be scheduled a time (15-20 minutes) to come to Human Resources and provide documentation (ID) for form I-9.
